Yusen Logistics Benelux has thousands of customers,and keeping track of their payments and outstanding items is a manual process. This process could be automated quite easily by means of a software robot.
The challenge that leads to motivation
One day a week, one of the finance department employees was extremely busy processing the names of customers or suppliers, who had to be limited for their future orders because of their outstanding items.
The person compared each order to the customer’s payment balance and blocked their incoming orders if their payments weren’t up to date. The same employee would unblock the customer when the payments were processed. And then the customer could place new logistics or transport orders.
The software robot we made for Yusen Benelux
This is whenRPAcomes in handy. We have created a custom made software robot that helps save about 52 working days a year, never gets tired and never makes mistakes.
Using the unique reference number created for accurate recognition, the information systems interact with the software robot and makes updates related to orders and payments. This with the effect that no greater financial risks of non-payment can arise. All this is arranged automatically without human intervention.
The system and the software robot are built around one document which is available to the financial department in which unique references are merged. After entering data about payments and orders, the submit triggers the robot to block or unblock the relevant customer. After that, the bot generates a report about a specific company, in which one can find out how much debt the company has and whether it is blocked or unblocked.
