To increase productivity, any company should focus on one vital factor: which departments are most suitable for familiarizing with automation?
For Yusen Logistics and many other of our clients, one of the teams that needed help from our RPA specialists is the Financial Department.
Yusen Logistics is a global supply chain company that provides shipping and air transportation, warehousing services, distribution, and supply chain management. The company operates from several locations that need to be connected to be as efficient as possible. The Benelux office of Yusen Logistics trusted us with the automatization process for their complex Accounts Receivable and Accounts Payable reports.
Motivation for change
The financial manager spends several days a month uploading files to the BI tool that generates Accounts Receivable and Accounts Payable reports for 255 locations worldwide. For at least two days each month, other employees from the financial department sent notifications to all the departments from all the locations in Benelux; it was repetitive work.
From 7 days to 7 minutes
After understanding the process, we devised a two-step solution. In the first step, the ERP files are retrieved, stored in a particular location, and loaded into the BI tool by the software robot we created. For the second step, the archived AR/AP files are sent by e-mail to all 255 Yusen sites. Finally, the financial manager receives a confirmation via e-mail of the successful processing.
The approximately seven days spent sending reports transformed into about 7 minutes, giving the team time to focus on higher-level tasks.
Results that speak volumes
We analyzed the data following the implementation of our solution, and here are the benefits:
The financial departments and the logistics industry have the opportunity to automate areas such as payable accounts and receivable accounts. With the help of RPA, we streamline work, eliminate repetitive tasks and errors, and minimize costs.
Christiaan Knaeps, the first to take the steps of automation via RPA within Yusen, indicates that setting up RPA is an instructive and fascinating process.
